Snooker Club Management Software: What Your Club Actually Needs

A snooker or billiard club sells time. Every minute a table is open without being recorded, every session priced by memory and every credit tab written on paper is money leaking out. Snooker club management software exists to close those gaps — but many clubs still run on a notebook and a till.

Core features of a club management system

Table status and timers

A live floor view: which tables are free, occupied or reserved, and how long each session has run. Starting and stopping a table should take one tap.

Pricing rules

Per-hour or per-minute rates by table type, time of day and membership, calculated automatically when a session ends — no mental arithmetic at the counter.

Sessions, games and players

Each session records the table, start and end time, players and games played. Player records make loyalty, handicaps and statistics possible.

Credits and tabs

Regulars play on credit. The system must track who owes what, partial payments and history — reliably, because it is money.

Shift closures

At the end of each shift, totals by payment method, open tabs and discrepancies. A clean closure is the difference between trusting the numbers and wondering.

Reporting

Occupancy by table and hour, revenue per table, busiest days and top players — so pricing and staffing decisions rest on data.

Reliability matters more than features

Operations software for a cash business must never show two different totals for the same shift. That means one source of truth for sessions, server-side calculations, writes confirmed before the screen updates, and backups. Cloud hosting is convenient, but the architecture has to handle several devices and staff at once without data drifting between them.

Where AI fits: automatic table detection

The next step is letting tables report themselves. In our Snooker AI project, cameras mounted above the tables stream over RTSP to an object-detection model (YOLO) that recognises the table and the balls. The system detects when a frame starts and ends and feeds a live scoreboard — reducing manual tracking during busy hours and laying the groundwork for player statistics and automated refereeing.

Build or buy?

• Buy an off-the-shelf billiard club management system if your pricing is simple and you mainly need timers and billing.
• Build when your club has its own pricing rules, credit practices, tournaments or multiple venues — or wants camera-based automation.
